Independence Community School District (ICSD), serving approximately 1,400 students in Iowa, improved its accounts payable operations by replacing manual, time-consuming invoice processes with an automated, AI-powered solution.

Previously, invoices required multiple manual steps, including scanning, locating files, and uploading each document individually into the School Accounting System. This process took three to five minutes per invoice and created bottlenecks, delays, and visibility challenges. In some cases, invoices were even missed entirely, leading to late payments and vendor inquiries.

To address these challenges, ICSD implemented the IntelliCloud Document Management System (white-labeled as K12Docs), a cloud-based document management solution with AI-powered data capture. Invoices are now routed through a centralized AP email, where the system automatically captures key data, indexes documents, and files them in a digital repository. The solution integrates directly with the district’s accounting system, allowing invoices to be instantly accessible and linked to transactions.

The impact was immediate. ICSD reduced invoice processing time by 80%, cutting the time per invoice from up to five minutes to about one minute. Automation eliminated reliance on individuals, improved consistency, and ensured invoices are always accessible when needed.

Beyond efficiency gains, the district improved accuracy, reduced delays, and strengthened internal controls. Staff are now freed from manual tasks and can focus on more strategic work, while leadership gains better visibility and confidence in the process.
