Quality Is More Than Image Resolution

Put simply: Quality Control finds mistakes. Quality Assurance reduces the likelihood of mistakes. The strongest conversion programs include both.
Quality Control (QC)
Quality Control identifies defects after they occur.
Examples include:
- Blurry images
- Cropped images
- Missing frames
- Density problems
- File naming errors
QC asks: "Did we find a problem?"
Quality Assurance (QA)
Quality Assurance focuses on preventing problems before they occur.
Examples include:
- Documented procedures
- Equipment calibration
- Operator training
- Inspection checkpoints
- Production standards
QA asks: "How do we prevent problems?"
Completeness Matters as Much as Image Quality
One of the most overlooked aspects of quality is completeness. A record doesn't have to be blurry to be unusable. It simply has to be missing.
Questions worth asking include:
- Were all reels scanned?
- Were all frames captured?
- How are missing images identified?
- How is completeness verified?
A missing image may not be discovered until years later when someone needs the record. At that point, correcting the issue can be difficult or impossible.
Environmental Controls and Equipment Matter
Quality is also influenced by the production environment. Organizations evaluating providers should understand:
- How film is stored and handled
- Whether temperature and humidity are controlled
- How scanners are calibrated
- How image quality is monitored during production
Organizations such as the Northeast Document Conservation Center (NEDCC) emphasize that successful digitization depends on planning, preparation, inspection, and ongoing quality management, not simply the creation of digital files.
Questions Every Buyer Should Ask
When evaluating conversion providers, consider asking:
About Quality Assurance:
- Can you document your production standards?
- How many quality inspections occur during the project?
- How are defects identified and tracked?
- What happens when issues are discovered?
About Image Quality:
- How do you determine scanning specifications?
- How do you verify image completeness?
- How do you monitor density and clarity?
About Film Handling:
- How is film inspected before scanning?
- How are damaged reels handled?
- What environmental controls are used?
The answers often reveal more about quality than a sample image ever could.
Quality Is a Process, Not a Deliverable
Most buyers evaluate quality by reviewing a small sample of finished images, and that's understandable. After all, the digital image is the final product they receive. However, true quality is determined long before the first image is delivered. It is the result of documented procedures, trained operators, properly maintained equipment, consistent handling practices, and multiple layers of Quality Assurance and Quality Control throughout the project. These processes work together to create accurate, complete, and reliable digital records that organizations can trust for years to come.
Ultimately, the success of a conversion project isn't measured by the scanner that was used or the specifications listed in a proposal. It's measured by whether users can quickly locate the records they need and have confidence that those records are complete, readable, and accurate. The best conversion projects are often the ones no one thinks about later because the information is simply there when it's needed.
